Discord leave management and approvals
Check leave balances and who's out with /squadbear, approve time off from a Discord DM, and post a daily absence digest. Opt-in. Never reads messages.
SquadBear's Discord leave bot is for teams that already live in a server: check remaining PTO, see who's out, and approve time off from a DM. Discord is a remote control. SquadBear stays the system of record.
It does not read your messages. It does not keep a Discord user token after someone links their account.
Approve in a DM
Managers get a card with Approve, Reject, and a link back to the request.
/squadbear balance
Your remaining leave, in days and hours, using each person's own day length.
Who's out
/squadbear whos-out today or the next seven days, plus an optional daily digest.
Open the app when you need it
/squadbear request and /squadbear approvals deep-link into SquadBear. No in-Discord form.
Approve time off in Discord
When a request is waiting on you, SquadBear DMs a card: who asked, the dates, the duration, the leave type, and optional notes. Approve, Reject, and View in SquadBear sit on the card.
The click is bound to that Discord account, that message, and the approval step on screen. SquadBear then re-checks the decision against that person's permissions. A stale or reused button cannot approve a later version of the request. After you decide, the same card updates (approved, rejected, cancelled, or waiting on the next approver).
The requester gets their own DM when the leave is approved, rejected, cancelled or partially cancelled.
Check balances and who's out
/squadbear is the one command. Subcommands:
| Command | What it does |
|---|---|
/squadbear balance | Your remaining leave |
/squadbear whos-out | Who is away today, or the next seven days |
/squadbear request | Opens the leave form in SquadBear |
/squadbear approvals | Opens requests waiting on you |
/squadbear digest-here | Admin: post the daily digest in this channel |
/squadbear help | Commands and how to connect your account |
Who's-out is names and dates. Not the type of leave.
Daily absence digest
An admin runs /squadbear digest-here in one channel. One message a morning: who is away, on which dates. Never the leave type.
How to connect Discord
- An admin opens Workspace settings → Apps and installs Discord on the server.
- Each person opens Preferences → Notifications, clicks Connect Discord, and signs in. That proves they belong to that guild. SquadBear does not store their Discord token afterwards.
- They can disconnect whenever they want. Email and Inbox keep working.
Anyone who skips Discord keeps the same notifications as before.
What SquadBear does not do in Discord
- Read channel history, DMs you did not ask it to send, or member lists for a picker.
- Open a leave form inside Discord.
/squadbear requestis a link to SquadBear. Native request lives on Slack as/timeoff. - Clock in.
/clockis Slack-only today. Discord has no attendance punch. - Set a Discord custom status. Slack can set Out of office on leave days; Discord has no equivalent API we use.
Discord vs Slack
| In chat | Discord | Slack |
|---|---|---|

| Approve / reject | DM card | DM buttons |
| Who's out | /squadbear whos-out | /whos-out |

Pick the chat your team already opens. The leave record is the same either way.
Approvals also work from an assistant
Discord is one way to reach the same leave. A connected assistant can do it in plain language too:

Frequently asked questions
Does SquadBear read our Discord messages?
No. It does not read conversations, does not listen with a Gateway, and does not keep a Discord user token after someone links their account. It answers /squadbear when you invoke it, sends DMs to people who connected Discord, and, only after an admin runs /squadbear digest-here, posts one daily absence digest of names and dates.
Can I request time off inside Discord?
/squadbear request opens the leave form in SquadBear. There is no in-Discord modal today. Slack has a native /timeoff form if that is the workflow you want.
Can managers approve leave in Discord?
Yes. Approvers who connected Discord get a DM card with Approve, Reject, and View in SquadBear. The click is bound to that person, that message, and the approval step on screen. It does exactly what they could do in the app, and nothing they could not.
Can I clock in from Discord?
Not yet. Clock in the app, a kiosk tablet, an agent with attendance permission, or /clock in Slack. Discord today is leave reads, approval DMs, and the digest.
Who gets a Discord DM?
Only people who connected their own Discord account. Approvers get a card when a request is waiting on them. Requesters get a DM when their leave is approved, rejected, cancelled or partially cancelled. Anyone who has not connected Discord still gets email and in-app.
How does someone connect their Discord account?
An admin installs Discord once at Workspace settings → Apps. Each person opens Preferences → Notifications, clicks Connect Discord, and signs in. SquadBear checks they belong to that server. It never guesses from email. Disconnect whenever you want.
Does the daily digest show why someone is off?
No. Names and dates only, never the type of leave. A public channel is not the place for sick leave.
Is this a Discord leave bot or a second HR system?
A remote control. The request, the decision and the balance live in SquadBear. Discord is where you check who's out and tap Approve. Policy and coverage stay in the app.
