Company documents
Where workspace-wide policies and handbooks live, and who can manage them
Company documents is the workspace's shared file library — policies, handbooks, and anything else everyone on the team should be able to read.
SquadBear actually keeps three different kinds of files apart, and it's worth not conflating them. Company documents (this page) belong to the whole workspace and are readable by every member. An employee's own files — contracts, certificates, ID scans — live on that person's profile "Documents" tab, visible to them, their manager, and admins. Attachments on a leave request, like a sick note, are evidence for that one request and follow the request's own access rules — see Approving requests.
How
- Go to People → Company documents.
- Click Upload, choose a file, and pick a category (Policy, Contract, Certificate, Sick note, Document, or Other).
- Everyone in the workspace can see and download it from this page immediately; only admins can upload or delete workspace-level documents.
Uploads accept PDF, PNG, JPG/JPEG, WEBP, plain text, CSV, Word (.docx), and Excel (.xlsx) files, up to 20 MB each. Storage also counts against your plan's overall quota — once a workspace would go over it, further uploads are refused until something is deleted or the plan is upgraded.
Company documents is an optional module. An admin can hide it entirely from Admin → Workspace → Modules — it disappears from the sidebar for everyone, but nothing is deleted, and turning it back on restores the library exactly as it was.
Worked example
Marta uploads Employee Handbook 2026.pdf to Company documents, filed under
Policy. All 15 people at Northlake can now open it from
People → Company documents whenever they need it — no email attachment to lose
track of, and no separate copy per person.
