Run a review round

How a round opens, runs and closes, and the actions admins and reviewers use along the way

A round opens on its opening day. There is no heads-up before that day. A nightly job at 02:00 UTC, on each workspace's own date, moves it through its other dates. Saving a one-off round whose opening date is today opens it in that save.

Open a round

  1. A one-off cycle gets its round from Create one-off round on the cycle page: a Round name, the period and its dates. Opening starts as today, so the button reads Create and open and the round opens at once; past about 1,000 people, the rest open in the background, about 1,000 people every five minutes. A later opening day reads Create round, and the round opens that day. Review only people I name replaces the cycle's rules.
  2. A repeating cycle sets up each round 14 days before it opens. Open now, on a scheduled round's page, starts it early: the opening moves to today and the due dates stay.
  3. When the round opens, each person gets a reviewer: their line manager, or an admin when no line manager can review. Self, manager and upward requests go out at once, and peers are asked once chosen.

Peers

When The person suggests, each person gets Suggest peers on To do and has 3 days to send names. Their reviewer then gets Confirm peers and asks them with Confirm and ask. If the person sends no names in time, the reviewer gets Choose peers and picks with Ask for feedback, as when The manager picks. A peer's answer is due on the self and peer due date, or 5 days after they are asked if that is later.

While it is open

Reminders go 3 days before a response is due, on the day, 1 and 3 days overdue, then on Mondays until 30 days overdue. Each person gets at most one digest a night.

Admins open Performance → Cycles, the cycle, then the round. The round page lists 20 people at a time by name, with each person's Reviewer, progress and Manager ratings (once finished, never averaged). Search by name and Show (Everyone, Not finished or Needs attention) narrow it, and the arrows by Rows move between pages. A card counts the people the rules matched but the opening left out, and Show people lists them with why (the first 200, when there are more). An admin's own review shows as Your own review, hidden here: it holds only their name, opens nothing and cannot be reassigned there, and a search or filter leaves it out.

  • Move dates: any date until the round opens. After that, the period and opening are fixed, passed dates stay, and due dates of unfinished work move with the round.
  • Extend, on the review page under Progress: an admin, or the reviewer while the review is open, gives one unanswered self, peer or manager response a new due date.
  • Return to draft (admins): sends back a submitted self or peer response while the review is open, or a finished, unshared manager review, with a Reason the author sees.
  • Reassign, on a flagged row of the round page, or Reassign reviewer on the page of any open review that is not about them or theirs to write: an admin hands it to an active manager, admin or owner who is not the person, their direct report or one of its upward reviewers.
  • Nightly, reviews are flagged Needs a reviewer or Line manager changed, the row says why, and admins get a notice. Nothing is reassigned automatically.
  • Release now, under Upward reviews, ends upward collection early and sends the results where enough people answered. It cannot be taken back. Otherwise collection closes the night after self and peer reviews are due.

Close a round

Close now works once the manager reviews due date has passed and upward collection has closed. Otherwise it closes on its Round closes day. Reminders stop, unfinished reviews can still be finished, and a closed round cannot be reopened.

A repeating cycle opens a scheduled round up to two nights late. Past that, or after its self and peer due date, the round is dropped rather than opened.

History, on the review page and the manager's write page, shows the person's earlier reviews. Earlier peer answers show only to that round's reviewer while they still manage the person, and as a count to others.

Worked example

Marta creates Platform Q3 2026 on 1 October with Create and open. Self and peer reviews are due on 11 October and manager reviews on 22 October. Zofia is ill, so Jakub, Zofia's reviewer, extends the self review to 18 October. Marta picks Not finished on the round page to see who is behind, and on 23 October chooses Close now rather than wait for 21 November.
