Three short scenarios that show the leave model with concrete numbers. Northlake is a Polish workspace, so it runs on the Polish preset; the model itself is in How leave works in SquadBear.
Service steps
An allowance can rise with service. The Polish preset's annual leave allowance is 20 days a year with one step, 26 days after 10 years of total service, set under Steps on the allowance at Settings → Leave → Allowances, with Steps count set to Years of total service (Leave seniority). Total service counts from the person's Leave seniority, which HR records on their Time off tab under Leave details and which covers earlier employers and the education credit. Until it is recorded, it counts from the employment start date. A step on Years of service or Months of service always counts from the employment start date, and a step can also count Age. The last step a person has reached replaces the amount, checked on each date.
Tomasz's total service reaches 10 years on 15 June. Read as of 14 June, his annual leave for the year is 20 days; read as of 15 June, it is 26. Nothing is posted on the day: the balance is worked out from the step whenever it is read.
An on-demand day
Urlop na żądanie (on-demand leave) uses two allowances: annual leave as its Balance, so the day comes out of the annual days, and a 4-days-a-year Limit. Its approval is Granted at once, manager notified, with a Same-day cut-off at 08:00 that sends a request for today made later through Simple manager approval.
Aleksandra asks for today off at 07:40. The request is approved at once, her manager gets a notification, her annual leave drops by one day and her on-demand limit reads 3 of 4 left. Had she asked at 08:15, the same request would wait for her manager. A fifth on-demand day in the year is refused with limit reached, even with annual days left.
Sick leave over booked annual leave
Zwolnienie lekarskie (sick leave) counts Calendar days against a 33-day allowance of the same name that is Count only: it never refuses, it shows how many days are used. It is granted at once with the manager notified, hidden from colleagues as Out of office, and it supersedes annual and on-demand leave.
Marta has approved annual leave from Monday to Friday and falls ill on Wednesday. She records sick leave from Wednesday to Friday. In the same step, those three days are given back to her annual leave and removed from the annual request, which now ends on Tuesday. Her Zwolnienie lekarskie allowance shows 3 days used. Approved days in a closed time period cannot be superseded this way.
